Andresen Eiendomsdrift AS manages both residential and commercial property with a focus on operational management. They offer everything from technical operations and facilities management to rental and financial-commercial management. They manage eight properties in the area around Ski in Norway, with over 40 ongoing tenancies, and cover the manager's function in the interface between users and owners of buildings.

The use of checklists and routines ensures control over the documentation

To meet increasing demands for documentation from public and other authorities, a clear facility management system is a good aid to gain full control over the necessary documents. For property manager Thomas Haug, structure and order are essential to ensure optimal operation and to be well prepared before inspections. The use of checklists and routines in Propely has been crucial in ensuring that they have all the necessary documentation available.

“Requirements for documentation are becoming more and more important. Propely's facility management system is a perfect tool in everyday life for us,” says Thomas Haug.

In the past, problems and maintenance needs were dealt with only when they occurred, leading to delays, higher costs and inefficient operations. By introducing systematic monitoring of tasks and maintenance, Thomas Haug can prevent problems before they occur.

Through the use of Propely, Andresen Eiendomsdrift has achieved a more proactive approach to the management of its properties, which has improved control and provided confidence that everything is properly documented and can be easily taken out in reports.

Efficiency and accuracy in property operations

The implementation of checklists and routines has not only increased the efficiency, but also the accuracy of Andresen Eiendomsdrifts workday. With the ability to log internal controls directly in Propely, the follow-up of deviations becomes easier and more precise. This frees up valuable time and resources that can be used to improve the core business.

“The efficiency of our working day has really increased after the implementation of Propely. Internal checks carried out every 14 days are logged directly into the solution, and any discrepancies are submitted directly with photos and comments. This can then be followed up in a calm and good way when we return to the office,” explains Thomas Haug.

Andresen Eiendomsdrift says that they themselves have set up good checklists that are whittled down as they carry out the various checks.

Workflow and cost efficiency

By bringing together all routines, documentation and communication on one platform, Andresen Eiendomsdrift has created a more streamlined operation. By eliminating time-consuming manual tasks and replacing them with automated solutions, they have freed up resources that can be reallocated to other areas.

“The workflow is completely different after the implementation of Propely. Everything is brought together on one platform, and that has really made a difference,” says Haug.

Another benefit of the improved workflow is increased accuracy. By logging internal controls and following up on deviations directly in Propely, Thomas Haug can ensure that all tasks are performed correctly and on time. This provides additional peace of mind for both the trustees and the tenants, who can trust that the buildings are in good condition and that any problems are dealt with quickly and efficiently.

The reduced need for manual processes has also led to cost savings. Less time spent on administrative tasks means that the company can reduce operating costs, while increasing productivity.

The fire department was impressed — all documentation ready in one minute

In May, Andresen Eiendomsdrift had fire supervision of the Fire Department. Thomas Haug tells how in one minute they pulled out reports and documentation in Propely, which made fire inspection a painless experience.

During the fire inspection, the fire department requested all documentation in the field of fire protection: checklists, control procedures, agreements, annual inspections, agreement with tenants regarding fire protection, as well as copies of the last annual inspections for extinguishing equipment, fire control and more.

“I made a booklet using all the documentation I had collected in the facility management system, printed it out in less than a minute and handed it over to the fire department under control. They were impressed with the control we had and that it was documented in such detail,” says Thomas.

For the property managers in Andresen Eiendomsdrift, Propely has become an important tool in their everyday lives. By bringing together all routines, checklists, documentation and communications on one platform, they have improved both efficiency and control, while ensuring easy access to all necessary information. This has led to a more streamlined operation and reduced operating costs.
